Explorer and Folders
The Explorer window is in the upper left part of the User Interface above the Navigation Bar. The Explorer shows the list of folders configured for the selected Module. Folders are used for quick sorting and access to subsets of list items in systems with large lists. While the Library contains a list of all item subject to the security configuration (Manage Security), it may be partitioned using two types of folders.
- Public Folder. A Public Folder contains items available to all users.
- Private Folder. A Private Folder contains items that are only available to the current user.
Using folders does not preclude access to any list items, it only creates a viewing subsets.
Within the Public and Private folders, two types of search folders may be created.
- Static Folders. A Static Folder is a user defined folder defined by a fixed list of items. Static search folders can be created within the Private or Public folders using the Right-Click menu and selecting Add Static Public Folder or Add Static Private Folder actions.
- Dynamic Folders. A Dynamic Folder is a user defined folder defined by a filtering rule. Dynamic search folders can be created within the Private or Public top level folders using the Right-Click menu and selecting Add Dynamic Public Folder or Add Dynamic Private Folder actions.
Selecting a Static or Dynamic Folder changes the List Tabs to view the subset of items. When deleting an item from the List Tab while viewing the items in a Static or Dynamic Folder, the delete action removes the item from the system database and it is no longer be accessible in the Library or any other folder. To remove the item from the folder without deleting it from the system database, modify the Folder Properties.
Actions
The available Explorer actions are located using a Right-Click in the Explorer. The Right-Click menu contains the following actions.
- Folder Properties. The Folder Properties contain the definition for the folder. For Static Folders, the properties dialog defines the list items for inclusion. For Dynamic Folders, the properties define the filter criteria for inclusion. Configuring Folder Properties is included in the Folder Properties section.
- Rename Folder. To rename, select the Rename Folder action. This action places the folder name in edit mode. If you have selected a Public Folder and the Rename Folder action is grayed out, you do not have the permission to edit Public Folders.
- Add Dynamic Public Folder. This action creates a new dynamic public folder. Once enacted, use the Folder Properties dialog to define the folder filter criteria.
- Add Dynamic Private Folder. This action creates a new dynamic private folder. Once enacted, use the Folder Properties dialog to define the folder filter criteria.
- Add Static Public Folder. This action creates a new static public folder. Once enacted, use the Folder Properties dialog to select the items for inclusion.
- Add Static Private Folder. This action creates a new static private folder. Once enacted, use the Folder Properties dialog to select the items for inclusion.
- Delete Folder. To delete a folder, select the folder and use the Delete action. If the action is greyed out, you do not have the permission to delete Public Folders.
- Sort Folders Ascending. Static and dynamic folders can be ordered by using the Sort Folders Ascending action. This action sorts the folders in ascending order.
- Sort Folders Descending. Static and dynamic folders can be ordered by using the Sort Folders Descending action. This action sorts the folders in descending order.
- Copy Folder. The copy action creates a copy of the folder and saves the copy until pasted.
- Paste Folder. The paste action creates a new folder of the same type and properties as the copied folder.
In addition to the Right-Click menu options, folders may be moved within Private or Public top folders. To move a folder, click on the folder and drag it up or down in the list.
